    We have an exciting opportunity for an Office Administrator to join us whose role will be key to helping the office run smoothly.  This is an opportunity to work within a professional company where you will be part of a friendly and supportive team with a varied set of responsibilities. 

     Key Responsibilities:

     Responsibilities include, but are not limited to the following mix of duties across reception, admin and facilities management:

    • Providing support for the Executive Management team including expenses collation and preparation
    • Monitoring client renewals for Vistair’s software product: Airfield Briefings
    • Managing site maintenance and facilities, including health and safety, fire extinguishers and security / fire alarm system
    • Monitoring first aider and fire marshal certifications and booking individuals on refresher courses
    • Managing and maintaining the company meeting and facilities renewal schedule
    • Managing building access and ID passes
    • Meeting and greeting visitors and clients
    • Helping to organise company events/socials
    • Booking travel and accommodation
    • Answering, screening and forwarding telephone calls
    • Dealing with incoming and outgoing post
    • Booking meetings and calendar appointments
    • Monitoring and ordering office stationery and office supplies and liaising with suppliers for purchases
    • Preparation of quotations, order and other routine office duties
    • Scanning, photocopying, filing, and other administrative tasks
    • Organising meeting lunches and providing refreshments for guests/management as requested
    • Kitchen maintenance and tidying (dishwasher/daily clean up)

    Working alongside an established team you will be given support and training to develop within the organisation.  This role has the potential to provide you with an excellent start in your administration career and offers excellent scope for professing into other areas of the business.  There is also the opportunity to get involved in other areas of administrative support such as:

    • Providing admin support to the Commercial and Sales team as required
    • Managing first day H&S inductions for new starters
    • Assisting with quotation and proposal activity and maintaining the library of information

    Requirements:

    • Some experience in administration is preferred but not essential as full training will be provided
    • Strong written and verbal English communication skills
    • Friendly, professional manner
    • Attention to detail
    • Good use and understanding of Microsoft Office
    • Enthusiastic, dedicated and helpful people person who enjoys taking on new challenges
    • Meeting deadlines and working well as part of a team as well as individually
